How to Add Drivers to Omnitracs XRS

Procedure

Driver information must be entered into your Omnitracs XRS inventory. Follow the procedure below to add a driver to your organization.

  1. From the Admin menu, select Drivers.



    The Manage Drivers window opens.


     
  2. Select Add Driver. The Add Driver window opens.


     
  3. Enter driver information in the fields. The table below describes the information to enter. Required fields are marked with an asterisk (*).
  4. Select the Save button at the bottom of the Add Driver window.

    Note: To eliminate confusion for drivers, the Driver ID and Login User Name can be the same. 

Field Definitions for Add Driver

The Add/Edit Driver window has three tabs: General InformationDriver Groups, and Advanced. The tables below contain the name, value, and definition for each field in the tabs.

General Information

Fields marked with an asterisk (*) are required.

Unique identification for the driver. This is often a number assigned by your company to each driver. This is the ID the driver will use to log in to Omnitracs XRS Mobile.

The Driver ID field can include underscores and hyphens. No other special characters are allowed.

The Driver ID and Login User Name can be the same to eliminate confusion for the drivers.

Login User Name *AlphanumericThe user name used by drivers to log into their Omnitracs XRS web account, which shows a driver dashboard and their performance scorecard. Omnitracs XRS recommends making the Login User Name the same as the Driver ID to avoid confusion.
First Name *AlphanumericFirst name of the driver. The field allows up to 30 characters.
Middle NameAlphanumericMiddle name of the driver.
Last Name *AlphanumericLast name of the driver. The field allows up to 30 characters.
Organization Name *Select from listName of the organization the driver is associated with.
Status *Active
Inactive
Select whether the driver is active or inactive.
ELD ExemptYes

Select "Yes" if the driver is a non-driver or a driver who does not have to maintain RODs. When "Yes" is selected, the ELD Exempt Explanation field becomes available.
ELD Exempt Explanation *AlphanumericOnly available when ELD Exempt is set to "Yes." Enter the reason for the ELD exemption in 60 characters or less. This field is required when it is present.
Vehicle InspectionsUse Organization Settings (default)
No Inspections
This field is only available when ELD Exempt is set to "Yes." It allows website users to choose at the driver level whether or not pre- and post-trip inspections will be required for ELD-exempt drivers. If the user selects "Use Organization Settings," inspection requirements will be based on the settings in the DVIR tab of the Edit Organizations window. If the user selects “No Inspections,” the driver will not be required to complete a pre- or post-trip inspection of the vehicle.

Enter the driver's license number of the new driver.

The driver's license value must be unique. If the value you enter in this field for a new driver is the same as the license number for an existing driver in the customer account, you will not be able to save the new driver until you enter a unique value in the field.

The License # field must contain a minimum of two characters and a maximum of 20 characters. Asterisks, dashes, and spaces are allowed (but no leading or trailing spaces). The first character must be alphanumeric.

Note: This field is required for companies using Hours of Service, unless the driver is ELD exempt; it is not required for companies with the Performance Package.

The password must comply with the global company settings. The default setting for new drivers is a minimum of 12 characters. Web administrators can adjust password requirements in the User Security tab of the Company Settings window.
Confirm Password *AlphanumericConfirmation of the password.
Send Inbound Messages To *Drop-down listMessages from the driver will be sent to the users associated with this resource group.

When the check box is selected, ELD drivers will have the option to remain on duty while they are moving a vehicle around a yard. 

note icon This field can only be edited by admin users in companies whose default host mode is ELD Mode or Mixed Mode. It is not visible to users in AOBRD companies.

Allows users to specify the criteria for terminating Yard Move.
  • Power Cycle: Yard Move will be terminated when the vehicle's ignition is turned off.
  • Speed (20 MPH): Yard Move will be terminated when the vehicle reaches a speed of 20 MPH. (The FMCSA only allows a speed of 20 MPH to end Yard Move, which is why the speed is not configurable.)
  • Both: Yard Move will be terminated when either the ignition is turned off or the vehicle reaches a speed of 20 MPH.

The value for this setting will be sent to the mobile when the driver logs in, as long as Yard Move is enabled for the driver.

This option is only available when the HOS - Use Organization Settings field is set to "No" and only editable when Enable Yard Move is selected.

Select "Yes" to allow the driver to choose the Big Day Exception option in Omnitracs XRS Mobile.

Enable Adverse Weather OptionCheck boxWhen this check box is selected, the Declare Adverse Weather work time extension option will be available on the mobile device. The box is selected by default.

When "Yes" is selected, drivers are allowed to use the split Off-Duty/Sleeper Berth pairing towards the required rest time and the qualifying off-duty period is excluded from the 14-hour duty clock.

When "No" is selected, a driver is not enabled to use the split OFF/SB pairing and the OFF/SB time will be included in the 14-hour duty total.

The Driver Log Editor and UVA Editor will calculate driver violations based on the value of this setting.

Note: This setting will not be fully functional until mobile devices are upgraded in an upcoming maintenance release.

Note icon The ELD Mandate requires that all drivers in ELD or Mixed Mode companies have access to their logs via the driver portal. Therefore, this field is only editable for companies whose default host mode is AOBRD Mode. If the company's default host mode is Mixed Mode, "Yes" is selected by default and the field is not editable. If the company's default host mode is ELD Mode, the field is not visible.
